Job Description

  • Ensure that the reception area is always well secured, clean, orderly and presentable at all times

  • Greets visitors entering the facility determines nature and purpose of visit and notifies employees that their guests have arrived

  • Receive all Clients at the reception while maintaining a pleasant and professional demeanor at all times

  • Receive, screen and direct incoming telephone calls appropriately

  • Handle telephone conversations with professionalism, politeness and salesmanship

  • Ensure that all telephone lines and extensions are working and report the faulty ones to supervisor

  • Assist staff in making official calls and taking messages/receiving business instructions

  • Receive and log into the mail register all incoming and out-going mail in the mail register before releasing for hand delivery or postage.

  • Processes purchase orders and ensure all purchase orders are authorized in compliance with company policies

  • Places purchase orders and ensures timely delivery of goods and services, maintain receipts and checks invoices before submitting to Accounts department.

  • Follow up to ensure timely renewal of business permits annually

  • Co-ordinate office cleaners to ensure that the office premises are well maintained in a hygienic and professional manner

  • Timeously report any damage to office building and/or furniture and ensure all repairs are carried out as required

  • Arrange for pre – employment medicals for new staff in Lusaka

  • Provide administrative support services to staff including making photocopies and keeping appropriate records of official documents
