Goal of the Position

  • To ensure financial stability of the organization and compliance with accounting and bookkeeping principles. .

    Key Activities/Responsibilities

    • Capturing of Payments and Receipts into the Cash Books and ensuring that entries are coded correctly.

    • Liaison with the Banks and Other Service Providers to ensure that Statements are collected timely for quick Reconciliations of Bank Accounts and Subsidiary Ledgers to the General Ledger.

    • Assisting the Accountant and Project Managers in the preparation of Annual Budgets and monthly Cash-flow Estimates.

    • Checking of the Fixed Assets Register ensuring that records are incorporated into the accounting package and portray a realistic picture of the actual values held by the Organization.

    • Verification of entries in the Inventory Ledger and ensure that records portray a realistic picture of the actual values held by the Organization.

    • Maintenance of the Cash Receipts and Payments Statement (Petty Cash) and ensure that the balance is reconciled to the General Ledger.

    • Producing a Variance Report Analysis on the Administrative budget lines over spent or under-spent on quarterly basis.

    • Ensuring that Paid Cheque Vouchers have all the attachments necessary and are properly filed in accordance with the Diocesan Record Policy.

    • Attending to Auditors’ queries on issues pertaining to Accounts and providing necessary documents and information when requested
    upon.

    • Advice and Guide Administrative and Program staff on the acceptable accounting procedures to follow when requesting for funds or liquidating advances taken.

    • Contribute to the growth of the organization’s by participating in developmental programs.

    • Keep up to date with the developments in the field and own area of expertise.

    • Attend management meeting when requested upon.

    • Any other duties assigned by the supervisor.

    Key Relationships

  • Internal: Accountant, Director, Department Heads, Administrative Officer, Stores & Logistics Officer, Office Assistant and Project Staff

  • External: Banks, Auditors, Insurance Company, Government Departments.

    Qualifications

    • Minimum of Intermediary Professional Accounting qualification or comparable National qualification

    • Member of National Accounting body

    • Knowledge & experience in Accounting packages like Pastel Sage Evolution is an added advantage.

    Experience

    • Minimum of 3 years of working experience in a similar role

    • Experience within a NGO is preferable

    • Experience with budgeting, costing and general accounting

    • Must have knowledge on submiting Napsa and Paye
