Africa Re hereby invites applications from suitably qualified individuals to fill the position of Personal Assistant to the Regional Director at the Support Grade level in her Nairobi Regional Office, Kenya.
Reporting directly to the Regional Director, the successful candidate will primarily be responsible for maximizing the RD’s time and promoting a positive Corporation image.
As a liaison link, the incumbent will maintain relationships between the Regional Director and the other members of staff and external clients.
The duties shall comprise amongst others
Completes a broad variety of administrative tasks for the Regional Director including; managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Plan, coordinate and ensure the Regional Director’s schedule is followed and respected. Provide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Regional time and office.
Communicate directly, and on behalf of the Regional Director to both internal and external and internal clients, when required
Prioritize and follow up on incoming issues or concerns addressed to the Regional Director, including those that are sensitive or confidential, and determine appropriate course of action, referral or response.
Provide a bridge for smooth communication between the Regional Director’s office and internal departments; demonstrating leadership and maintain credibility, trust and support with senior management staff.
Work closely and effectively with the Regional Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the market and keeping the Regional Director updated.
Provide leadership to build relations crucial to the success of the Regional office and the organization at large.
Successfully completes critical aspects of deliverables that may facilitate the Regional Director’s ability to effectively lead the Regional office.
Prioritize conflicting needs; handle matters expeditiously, proactively and follow-through on projects/assignments to successful completion, some with deadline pressures.
• In-depth secretarial and office management skills; practices and laws as applicable;
• Excellent communication and presentation skills, as well as proven writing skill
• Very good reporting skills
• Integrity and sense of responsibility;
• Good use of MS Office applications (Word, Excel, PowerPoint, and Outlook);
• Ability to prioritize and multi-task seamlessly
• Excellent attention to detail
• Good interpersonal skills with ability to quickly build good and sustainable relationship with stakeholders, including staff, external partners and others
• Problem-solving abilities with strong decision-making capability
• Emotional maturity
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Applicants shall be holders of
Bachelor’s or equivalent degree with recognized institution of higher learning with at least 3 years working experience
Minimum of 3 years hand on experience in similar role
Experience in a re/insurance company will be an added advantage
Relevant Professional qualifications will also be an advantage
Applicants must also be
Fluent in English language
Working knowledge of French is desirable.

Competitive Basic Salary on the Corporation’s Support Staff Grade Level
Variable pay (Annual Performance Bonus)
Joint contribution to the Provident Fund (7% of the basic salary paid by staff and 14% by the employer)
Children education subsidy for each child up to 26 years (maximum 4 children)

Inflation Adjustment that may increase or decrease depending on the economic situation
