Private Safaris (E.A) Ltd is now seeking an Assistant M.I.C.E. Coordinator.
Preparation of detailed M.I.C.E proposals to include prices and relevant information to agents in all our markets.
Effective communications with agents, clients and partners to uphold, improve and safeguard the corporate image and identity of the company.
Developing new programs and activities to include all areas of touristic interests in the region.
Collect and collate important M.I.C.E information and file it appropriately for easy access for the department.
Booking accommodation with all hotels and lodges in line with client’s needs and effectively administer the same.
Manage room release and cancellations to ensure the company does not incur cancellation charges.
Receive all local and international M.I.C.E bookings and make all necessary reservations.
Invoice all M.I.C.E business as per company payment policy and ensure all payments due to the company are received on time
Accompany and/or forerunning groups on the ground, and ensure all services booked are delivered as promised.
Briefing/Debriefing customer services department/drivers before and after groups operations.
Preparing all relevant information and documents for other departments in advance of group operations. This will include final itinerary, driver’s copies, rooming lists, detailed information sheet etc.
Keeping clear and accurate filing system for all proposals, confirmed groups, ongoing groups and other company documents that have to be accessible at all times.
Minimum of 4 years working experience with at least two in M.I.C.E environment
College of higher education diploma
Diploma in Tour Operations and Management
Mature, strong personality, creative and ability to work with demanding markets
Proficient in MS office packages
Knowledge of Galileo
Ability to communicate in Spanish both written and spoken
Tour plan package and other foreign languages will be an added advantage
