What We’re Looking For:

  • The Short Course Operations Coordinator works with Traffic Managers, Senior Coordinators and Paid Media Team Leads in support of Head of Paid Media to achieve and action key operational day-to-day tasks and projects within the functional teams they support.

  • They are responsible for the administration associated with the coordination of the day-to-day operational activities and needs of the teams they support.

  • The role requires exceptional time management skills, good communication abilities, and an ability to prioritise effectively.

    Responsibilities Include, But Are Not Limited To:

    Workflow Operations:

    Key Drivers: Efficiency and Process

  • Assist with the development of frameworks and tools that support effective process creation, management and adherence in accordance with operational best practices.

  • Ensure that update process documentation is maintained and stored in the correct TeamDrive. Create and iterate all Paid Media Team processes documentation.

  • Support the scheduling and setup of process training sessions and ensure all processes are formally communicated to internal team members and external stakeholders.

  • Support the implementation and investigation of opportunities for improvements or process redesigns across Paid Media Team and other related departments.

  • Plan and organise work in a manner that supports daily output rates while maintaining an overall high standard of quality.

  • Provide administrative support in operational areas of work for any Paid Media Team team member.

    Business Operations:

    Key Drivers: UP Relationship, SC Revenue, Scalability

  • Assist Paid Media Team leads and Traffic Manager with the planning and administration of key operational projects.

  • Support any projects that are aligned with achieving the quarterly and yearly priorities of the teams supported by SC Operations.

  • Assist with the communication & administration of project
    plans, monitoring and reporting on project progress.

  • Support the Paid Media Team leads and Traffic Manager with the creation of weekly and monthly reports.

    Relationship/People Operations:

    Key Drivers: Org Structure Alignment

  • Develop relationships with internal stakeholders to understand current pain points and report back to Paid Media Team leads and Traffic Manager.

  • Act as intermediary between Paid Media and other departments to foster collaboration and communication to improve processes.

    Things That Should Be In Your Background:

  • Prior operational and process experience is advantageous but not required.

  • University Degree.

  • Demonstrable knowledge and understanding of the following skill sets: time, operations and project management (within a creative environment is a plus).

  • Proficient computer data analysis skills and mastery of Google sheets.

    Other Attributes That Will Help You In This Role:

  • Time management and an ability to prioritise effectively.

  • Ability to build working relationships effectively.

  • Solid presentation, oral, and written interpersonal skills.

  • Self-starter with the ability to work both independently with little direction and as an integral part of a team.

  • Quick learner with strong analytical and problem solving skills.
