Education

  • High school diploma or equivalent. Must have passed the United Nations Global General Service Test (GGST) at Headquarters or an equivalent locally-administered test at Offices Away.

    Work Experience

  • Five (5) years of experience in procurement, administrative services or related area is required, of which preferably three (3) years of experience in the UN common system or in an international public organization and at least two
  • (2) years of procurement experience is desirable.
  • Experience in Contract Management and/or Contract Administration and with an ERP system in the area of purchasing and/or supply chain is also desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat.
  • For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

    United Nations Personal Assistant to the Executive Secretary of the United Nations Economic Commission for Africa, G7 Jobs in Ethiopia

    Org. Setting and Reporting

  • This post is located in the Office of the Executive Secretary of the United Nations Economic Commission for Africa.

  • The incumbent works under the direct supervision of the Executive Secretary.

    Responsibilities

    Within delegated authority, the Personal Assistant to the Executive Secretary will be responsible for the following duties:

    Manages the daily operation of the Executive Secretary’s office by:

    • Facilitating timely flow of documents/communication/messages to and from the Executive Secretary; receive all incomings addressed to the Executive Secretary’s Office; managing the time of the Executive Secretary including establishing/arranging appointments, maintaining Executive Secretary’s calendar, receiving and directing visitors, placing and screening calls and answering queries; making contacts with embassies, UN agencies, international institutions, government offices, Sub Regional Offices (SROs), etc.;
    • Handling and maintaining policy, confidential and general management files including all correspondences;
    • Drawing Executive Secretary’s attention to important, sensitive and time-bound information;
    • Following up implementation of assignments from the Executive Secretary to staff;
    • Establishing and maintaining a document/work assignment tracking system including receiving, screening, logging and routing as well as maintaining a system for follow-up and retrieval;
    • Maintaining chronological file on all outgoing and incoming correspondences;

    Education

  • High school diploma or equivalent is required. Must have passed the United Nations Global General Service Test (GGST) administered by Headquarters.

    Work Experience

  • A minimum of ten years of experience in administrative services, finance, accounting, audit or related area is required.
  • Experience working with budget or contracts administration is desirable. Experience working with ERP applications for budget or contracts administration is desirable.
  • Experience working in an Executive Office setting is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat.
  • For the post advertised, fluency in English is required.
  • Knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.

    United Nations Inventory and Supply Assistant, G6 Jobs in Ethiopia

    Responsibilities

    Within delegated authority, the Inventory and Supply Assistant
    will carry out the following duties:

    •Receives requests and allocates approved requests for furniture, supplies and/or equipment to various departments, sections or missions.
    •Makes periodic surveys of departments, sections, or missions to ensure appropriate use of allocated furniture, supplies and/or equipment.
    •Communicates with the office space project managers to understand the furniture needs of the projects and coordinate the ordering and delivering of furniture for these projects.
    •Replenishes stock room or warehouse with furniture, supplies and/or equipment, and ensures that these items are securely and properly stored

    Inventory

    •Assists new mission survey/start-up team by initialising the accounting records for the Property and Control Inventory Unit, supervising the Receiving and Inspection of all UN owned property, participating in the In-Survey of contingent owned equipment, evaluating requirements and producing initial assessments for mission budget planning for Supply Section commodities.
    •Develops, in close collaboration with the computer programmer, systems designs for inventory assets tracking applications including file structure, records and screen layouts; test new or
    modified applications for suitability to unit requirements and make recommendations for improvements.
    •Assists in taking physical inventories of UN property and in investigating and reconciling discrepancies.
    •Ensures UN assets are bar-coded, decaled and tagged as per UN guidelines.

    Education

  • Seven years of experience in inventory and supply management, property management, logistics, procurement, warehousing, administrative services, or related area.
