The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. UNON supports the programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, human resources management, conference and information services. The posts are located in the Human Resources Management Service (HRMS) under the direct supervision of the Human Resources Officer, HRMS, at the Nairobi duty station, the incumbents will be responsible for the following duties and responsibilities:


Responsibilities


  • Perform a wide range of office support and administrative functions.
  • Draft responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
  • Monitor process and schedules related to the unit’s outputs, products, tasks, assist in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with requirements.
  • Upon request, generates reports, work orders, service requests (SRs), etc., system.
  • Screen phone calls and visitors; respond to moderately complex information requests and inquiries, as appropriate and assign inquiries to appropriate HRMS personnel for further p processing.
  • Assist in the preparation of presentation materials using appropriate technology/software.
  • Perform data entry and extraction functions.
  • Review, record, distribute and/or process mail and other documents; follows-up on pending actions.
  • Update and maintain large distribution lists; monitor, prepare and distribute various materials, reports, where possible using electronic formats; handles arrangement for printing and translation as necessary; coordinate shipment arrangements, courier services and pouch dispatch, etc.
  • Perform general administrative tasks e.g. arrangement for meetings and other events, reservations, follow-up, to include preparing and/or
    processing administrative requests/documents (for example, requisitions, purchase orders, among others.
  • Prepare and issue certified Letters of Attestation.
  • Assist in administering the recruitment staff and non-staff
  • Perform any other duties as may be assigned.

    Requirements

  • Completion of High Diploma is required.
  • Supplementary training or technical qualification in human resources, accounting, administrative services, office management or related area, is an asset. Passing the Global General Service Test (GGST) is an advantage for temporary position recruitment consideration in the General Services and related categories in the United Nations Secretariat.
  • Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.
  • A minimum of three (3) years of work experience in human resources, accounting or in an administrative area is required.
  • Solid working experience in the use of Enterprise Resource Planning (ERP) system and use of recruitment tools is desirable.
  • English and French are the working languages of the United Nations Secretariat.
  • For the position(s) advertised, fluency in both English and French is required. Knowledge of another official United Nations language is an advantage.
