SOS Children’s Villages South Sudan is a child focussed organization and an affiliate of the SOS Children Villages International. It is non-governmental, non-political, non-denominational, and non-racial.

Its overall mission is to build families for children in need, help them shape their own futures and share in the development of their communities. To realise the mission of the organisation, SOS CV South Sudan is recruiting a Human Resources Coordinator.

Human Resources Coordinator (Job Ref: SOS/HR/3/6)

Purpose of the Position

The Human Resources Coordinator reports to and is supervised by Project Manager . He/she is in charge of administration of the day-to-day operations of the human resource functions to achieve overall implementation of human resource strategies, policies, and procedures.

The Human Resources Coordinator ensures that the Human Resources Function runs efficiently and effectively, while handling all HR issues.

S/he supports on staff recruitment documentation, orientation, training, development, appraisal, compensation, discipline, etc.

In addition, s/he supports and ensures that all projects comply with established policies and procedures, and plays a significant part in the development of the Human Resources function ensuring that organisational objectives are supported, and Human Resources policies remain relevant.

Key Functions

Ensures effective management of Human Resource administration at all levels.**

o Receives and records incoming correspondence from facilities.This includes efficient and prompt handling of general correspondence and enquiries for internal and external customers satisfaction.

o Maintaining and managing accurate human resource records by updating the employees data bank, filling and keeping all employee’s documents in their respective files and opening files for new employees.Ensure all files are up to date as per the checklist.

o Managing general human resource administration processes through renewal of contracts ,drafting letters for separating staffs, transfer, commendation, appeals, memos, bank letters, certificate of service and appointment letters, e.t.c

o Preparing monthly reports on agreed key human resource areas for decision making.

o Supports the development of simple but effective Human Resources administrative procedures, in accordance with the policies of the SOS Children’s Villages organisation.

Supports in building a committed and effective staff team.

o Facilitate with facility heads in sourcing, recruitment and selection process by preparation of necessary documentation and contacting of candidates. Conducts reference checking for successful candidates. Participating in interviews of staff is as assigned by the immediate supervisor, providing advice where appropriate.

o When necessary and on identified needs, the Officer undertakes facility visits to support facility heads at project level.

o Supports in helping facility heads to develop and maintain effective and open channels of communication, in order to form a cohesive and supportive team.

Promotes good working relationships and positive discipline.

o Supports and endeavours to uphold the rights and responsibilities of each staff member, as outlined in the SOS Children's Villages South Sudan terms and conditions of service (Employee Handbook), in order to promote positive discipline at all levels. This will involve provision of expert advice to facility heads on contents of the terms and conditions of service (Employee Handbook),

o Participate in disciplinary committee hearings as assigned by the HRM. Also support facility heads in resolving conflicts and major employee grievances,
which cannot be solved within the relevant facility.

o Provides support, understanding and counsel to staff at all levels. Open communication is maintained at all times.

Supports the orientation, training and development of all staff.

o Ensuring new employees are properly inducted in the company through preparation and management of orientation program and complete submission of required company documents for their files

o Facilitating availability of training materials and participants for coordinated training programs

o Supports in conducting specialized training programs on key HR areas like ‚who we are‘, our brand, HIV/AIDS etc‘

o Facilitating performance management process through proper documentation ,tracking and coding of appraisal documents.

o Management of the National Office interns and their internship for a cordinated internship program.

o Reviewing of clearance and exit surveys for employees leaving the company for feedback on improvement and staff development areas.

Performs detailed administrative tasks.

o Maintaining leave records and updates to achieve coordinated leave administration process.

o Ensures all new staffs receive information/induction packs with a copy of their job description, copy of relevant SOS CV South Sudan employment documentation upon employment.

o Ensuring that staff attendance records is maintained for action and decision making.

o Managing payroll changes for submission to finance for compensation purposes

o Monitors and advises on anomalies noted on staff documentation staff salary adjustments, promotions etc, ensuring the correct channels are followed and unauthorised adjustments are avoided.

o Maintains and provides necessary support in the implementation for use of all Human Resources forms and documentation such as leave forms,exit survey forms, application forms etc.

o Maintains staff ID log for all SOS South Sudan Staff IDs issued, lost and returned.

Data protection

o At all times ensures that personal data of donors, sponsors, SOS CV South Sudan beneficiaries and their families as well as SOS co-workers is handled with utmost confidentially and in accordance with prevailing SOS-Kinderdorf International data protection laws.

Key Qualifications

A Bachelor’s degree in Human Resources Management/Social Science or any relevant Degree in relation to the position.

· 5 to 8 year’s generalist experience in human resource management, working in a medium to large organization preferable an NGO.

· Hands on experience in compensation and benefits management.

· Ethical standards, integrity, objectivity, confidence and the ability to gain the trust and respect of peers and supervisors.

· Sound judgement, a broad view, drive, enthusiasm and a passion for people development.

· Culturally astute, respectful and tolerant.
